How Working with IRM Works

Initial Contact

Most relationships begin when our sales team identifies a material opportunity and reaches out to potential suppliers or buyers. Alternatively, manufacturers contact us directly when they have surplus, off-spec, or aged inventory taking up valuable storage space. We respond quickly to inquiries—typically same day or next business day—to understand your situation and material availability.


Information Gathering

Once we connect, we request specific information about your material to conduct a thorough evaluation:

  • Ongoing or Spot? - We need to understand if this is a one-time opportunity or recurring supply
  • Volume - Total quantity available, and if ongoing, the weekly/monthly/quarterly volume
  • Packaging type - Whether you have drums, totes, or bulk material
  • If bulk - The transportation mode (truck, railcar, barge, ship, container)
  • Location - Your facility location for logistics planning
  • SDS - Safety Data Sheet for regulatory classification
  • Specs - Certificate of Analysis and/or Technical Data Sheet
  • Why it's available - Context helps us identify appropriate buyers (reformulation, overproduction, aging, off-spec parameters, discontinued product line)
  • Economic expectation - Your target price or price indication

This information allows us to evaluate the opportunity properly and provide meaningful feedback quickly.


Material Evaluation

We conduct a thorough evaluation including reviewing your specifications to understand quality and deviations, examining Safety Data Sheets for regulatory and safety classification, assessing material condition (age, packaging, storage), researching current market pricing for comparable materials, and identifying potential buyers—both domestic and international—whose applications can use your specific material. This evaluation typically takes 24-48 hours for straightforward materials.


Pricing Discussion

Based on your economic expectations and our market evaluation, we either confirm we can work within your target pricing or provide a counter-offer with clear reasoning based on current market conditions, material specifications, and buyer feedback. We're open to negotiation and work to structure deals that create value for everyone. For larger opportunities involving ship or barge loads, we may present multiple options based on different volume commitments, destinations, or delivery terms.


Documentation and Sampling

If we reach agreement on pricing, we finalize documentation including COA, SDS, TDS (if available), and any relevant material notes. When additional verification would be helpful, we coordinate sample pulls—typically 3 pounds for powders or standard bottle sizes for liquids. Samples can be sent to our lab for testing or directly to potential buyers domestically or internationally. This sampling phase adds 1-2 weeks to the timeline but ensures everyone has confidence in material quality.


Logistics Coordination

Once we reach agreement on pricing and documentation, our logistics partner Innovative Logistics LLC and our international freight forwarders take over coordination. They schedule pickup appointments with your facility (typically with 3-7 days notice for domestic, longer lead times for international shipments), dispatch appropriate carriers with correct equipment (tanker trucks, heated trailers, hazmat-certified carriers, ISO tanks, containers, railcars, barges), confirm loading windows (usually 2-hour appointment times), coordinate export documentation and customs compliance for international shipments, and track movements from pickup through delivery. You simply make the material available at the scheduled time—we handle everything else.


Pickup and Transportation

Professional carriers arrive at your facility within scheduled appointment windows, load material according to proper procedures, complete Bills of Lading and shipping documentation, and transport material to the end user or intermediate staging location. Domestic truck deliveries typically occur within 3-7 days of dispatch. Railcar movements take 2-3 weeks depending on routing. Barge and ship loads require coordination with vessel schedules and port operations. International container and ISO tank shipments require additional time for port drayage, customs clearance, vessel sailing schedules, and international transit (4-12 weeks total depending on destination).


Payment

For customers with approved credit through our third-party credit company, we issue invoices upon delivery confirmation with favorable payment terms. This gives you time to verify material receipt and process the transaction through your accounting department. For new customers, we work on prepayment or COD terms until credit is established. Payment methods include wire transfer, ACH, and checks. Our accounting team ensures smooth, professional financial transactions for both domestic and international deals.


Timeline Overview

From initial contact to final payment, typical transactions span 45-60 days for domestic deals. This includes evaluation and pricing (1-2 weeks), documentation and sampling if needed (1-2 weeks), logistics coordination and scheduling (3-7 days), transportation (3-7 days domestic, longer for railcar or barge), and payment processing per credit terms. Simple deals with in-stock material and eager buyers can compress to 2-3 weeks. International transactions or complex situations involving export compliance, vessel charters, or multiple-party coordination typically extend to 2-4 months depending on destination and shipping mode (container, ISO tank, bulk vessel).
